SUMMARY
The Business Services Specialist performs a number of functions within the Main Office including support to the Receptionist assisting the Main Office Business Manager, other departments and performing special assignments.
The Business Services Specialist is directly responsible to the Main Office Business Manager.
This position is eligible for overtime pay.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The following duties and responsibilities are given as examples of the various types of work performed in this position. Other duties and responsibilities may be assigned.
- Provides coverage for the Switchboard.
- Provides assistance to the Business Manager:
- Assist with preparation of invoices for payment and submits to Accounts Payable Coordinator.
- Assist with agency-wide invoices such as fleet fuel and telephone bills.
- Assist with ensuring adequate inventory is maintained and purchasing of various supplies such as cleaning, paper, and office supplies.
- Assist with vehicle logs, vehicle maintenance, and other tracking spreadsheets.
- Assist with office concession and complete appropriate documentation.
- Performs other duties as assigned.
- Assist Donor Processing Department with town trips, mail, processing gifts and other projects as needed.
- Assist Accounting with projects as needed.
- Exhibits a strong focus toward customer service on a daily basis.
EDUCATION AND EXPERIENCE REQUIREMENTS
The person filling this position must have a high school diploma or equivalent and at least two years office experience. Experience working with personal computers and Windows-based software is essential.

- Must have the ability to work with computers and other equipment, as well as a variety of software including Microsoft Word and Excel.
- Must have the ability to read and interpret documents such as operating, instructional, and procedural manuals.
- Must have the ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Must have analytical, math, and grammar skills sufficient to meet minimum standards of the Youth Ranches Skills Test.
- Must have the ability to carry out assigned tasks and projects to their completion by established deadlines.
- Must demonstrate discretion in judgment, thoroughness in ensuring high quality of work, and endurance to handle extended peak work loads.
- Must be able to handle stress, exercise sound judgment, and pay particular attention to detail.
- Must have the ability to respond effectively to the most sensitive inquiries and complaints and to communicate in a clear and concise manner, especially when having contact with donors.
- Must have a strong orientation to customer service and have exceptional skill in working cooperatively with others.
- Must have a valid Florida Driver License and be able to maintain a safe driving record consistent with agency policy.

While performing the duties of this position, the employee is regularly required to sit, listen, talk, use hands and fingers, and reach with hands and arms.
The employee must regularly lift and/or move objects weighing up to 25 pounds. Specific vision requirements for this position include close and color vision and must have the ability to adjust focus.
WORKING CONDITIONS
Work is generally performed in an office environment. The employee regularly works near mechanical parts and the noise level of the work environment is usually moderate in nature.
BASE SALARY
$13.50 Hourly.
